What we collect, why we collect it, who we share it with, and how to see, change or delete it.

Last updated: October 28, 2026

In short

  • We collect what you send us through our forms (quote requests, test-yardage requests, contact messages, email sign-up), what we need to fill and invoice an order, and basic technical data about how the site is used.
  • We use it to answer you, price and deliver your order, run and improve the site, and, only if you ask, send you product news.
  • We do not sell your personal information for money. We share it only with the companies that help us run the business, such as our store platform, carriers and email provider, or when the law requires it.
  • You can ask to see, correct or delete your information, and opt out of marketing or of "sharing" for advertising, at any time. Email sales@epic-dist.com or call (714) 533-8400.

Who we are

Information we collect

Information you give us

  • Contact and business details: your name, company, job title, email address, phone number, and shipping and billing addresses.
  • Request details: what you tell us in a quote, test-yardage or contact form, such as the products and quantities you want priced, your printer and ink, finished sizes, where the work will hang, delivery ZIP code, deadlines and any message.
  • Order and account details: the products you order, invoices, purchase orders, payment status, delivery records, tax-exemption or resale certificates, and, if you create one, your account login.
  • Communications: emails, calls, messages and feedback you send us, and your email preferences.

We do not ask for, and ask you not to send us, sensitive information such as government ID numbers, health information, or full card numbers in a form or email.

Information collected automatically

  • Device and usage information: IP address, browser and device type, operating system, referring page, pages viewed, time spent, and approximate location derived from your IP address.
  • Cookies and similar technologies: small files and browser storage that keep the site working, remember your choices (for example light or dark mode, or that you closed the sign-up window), and, with your permission where required, measure how the site is used. Our Cookie Policy lists them.

Information from others

  • Service providers, such as our store platform, carriers and payment processors, send us information needed to complete your order (for example delivery confirmations or payment status).
  • Your colleagues may give us your contact details when they name you as the person to receive a delivery or an invoice.

How we use your information

  • To answer you: reply to questions, prepare quotes, recommend materials and send samples, ICC profiles or test yardage.
  • To fill orders: process, invoice, collect payment for, ship and support your orders, including returns and claims.
  • To run the Site: keep it working and secure, prevent fraud and abuse, fix problems and understand which pages are useful.
  • To keep in touch, if you choose: send product news, new-material announcements and offers. Every marketing email has an unsubscribe link.
  • To meet legal duties: keep tax and accounting records, respond to lawful requests, and enforce our terms.
  • With your consent: for any other purpose we describe to you when we ask.

Legal bases (European Economic Area and United Kingdom)

If data-protection law in the EEA or UK applies to you, we rely on: contract (to quote, sell and deliver); legitimate interests (to run, secure and improve our business and the Site, and to market to business contacts in ways you would reasonably expect, which you can object to at any time); legal obligation (for tax and accounting records); and consent (for non-essential cookies and, where required, marketing emails). You can withdraw consent at any time.

How we share information

We share personal information only as described here:

  • Service providers who work for us under contract and may use it only to provide their services, including: Shopify (which hosts the Site, our forms and our customer records), email and customer-relationship tools (including HubSpot, which receives what you type into our contact, quote, test-yardage and call-back forms so our sales team can answer you), payment processors, carriers and freight companies (FedEx, freight lines and our own delivery drivers), IT and security providers, and our accountants and professional advisers.
  • Manufacturers of brands we distribute, only where needed to handle a warranty claim or a product question you raise about their material.
  • Legal and safety reasons: to comply with law, a court order or a lawful government request, or to protect the rights, property or safety of Epic, our customers or others.
  • Business transfers: as part of a merger, acquisition, financing or sale of all or part of our business, subject to this policy.
  • With your permission: in any other case where you ask us to.

We do not sell personal information for money. If we use advertising cookies or pixels, some U.S. state laws may treat that as "selling" or "sharing" personal information for targeted advertising. You can opt out using the Your privacy choices link at the bottom of every page, by turning on Global Privacy Control in your browser, or by contacting us.

Cookies and tracking

Where the law requires it, we ask for your consent before setting cookies that are not strictly necessary, through the cookie banner. You can change your choice at any time with the Cookie preferences link at the bottom of every page. We treat a Global Privacy Control signal as a request to opt out of selling or sharing. See our Cookie Policy for details.

How long we keep information

We keep personal information only as long as we need it for the purposes above. In practice:

  • Quote and contact requests that do not lead to an order: up to 3 years, so we can follow up on the same job or answer a related question.
  • Orders, invoices and tax records: as long as tax and accounting law requires (generally 7 years).
  • Marketing preferences: until you unsubscribe, after which we keep only what we need to respect that choice.
  • Technical and analytics data: generally no more than 26 months.

We may keep information longer where needed to resolve a dispute, enforce our agreements or comply with law.

Your rights and choices

Depending on where you live, you may have the right to:

  • Know and access the personal information we hold about you and how we use it;
  • Correct information that is inaccurate;
  • Delete information we hold about you;
  • Get a copy of your information in a portable format;
  • Opt out of the sale or sharing of personal information, targeted advertising and profiling;
  • Object to or restrict certain uses, and withdraw consent where we rely on it;
  • Appeal if we decline your request.

Some of these rights have legal exceptions, for example where we must keep records for tax purposes.

How to make a request

Email sales@epic-dist.com with "Privacy request" in the subject line, call (714) 533-8400, or write to us at the address above. We will confirm we received it, may ask for information to verify your identity, and will respond within the time the law requires (for California residents, 45 days, which can be extended once by another 45 days with notice). You can ask someone to make a request for you as your authorized agent; we may ask for proof that you gave them permission.

We will not treat you differently, charge you more or give you a lower level of service because you exercised a privacy right.

California residents

California law gives California residents the rights listed above. In the past 12 months we have collected these categories of personal information: identifiers (such as name, email, IP address); customer records (such as address, phone and payment status); commercial information (products quoted and ordered); internet activity (pages viewed and interactions with the Site); approximate geolocation (from IP address); and professional information (company and job title). We collected it from the sources and for the purposes described above, and disclosed it for business purposes to the categories of recipients described in "How we share information". We do not knowingly sell or share the personal information of anyone under 16, and we do not use sensitive personal information to infer characteristics about you.

California's "Shine the Light" law allows California residents to ask for information about disclosures to third parties for their direct marketing. We do not make such disclosures.

If you are in the EEA or United Kingdom

You also have the right to complain to your local data-protection authority. We would appreciate the chance to address your concern first.

Marketing emails

We send marketing emails only to people who signed up or who are business contacts who would reasonably expect them. Every email includes an unsubscribe link, and you can also reply or contact us to stop them. We will still send emails about your quotes and orders.

How we protect information

We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS) across the Site and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach that affects you, we will notify you as the law requires.

International transfers

We are based in the United States, and our service providers may process information in the U.S. and other countries whose data-protection laws may differ from those where you live. Where the law requires, we rely on appropriate safeguards, such as standard contractual clauses, for those transfers.

Children

The Site is for businesses and adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

Links to other sites

The Site links to other websites, such as manufacturers' pages, map services and carriers' tracking pages. Their own privacy policies apply, not this one.

Our store platform

The Site runs on Shopify. Shopify processes information on our behalf to host the Site and our forms. You can read how Shopify handles personal information in the Shopify Privacy Policy.

Changes to this policy

We may update this policy as our business or the law changes. We will post the new version here with a new "Last updated" date, and if the changes are significant we will tell you by email or with a notice on the Site.
